Administer the operational and system processes for coordinating arrival reservations, while ensuring reservation database accuracy.
Essential Duties and Responsibilities – (Key Activities)
The following are specific responsibilities and contributions critical to the successful performance of the position:
Responsibilities:
- Daily maintenance of New-Modified-Cancelled Reservations utilizing Reservations Made Yesterday report, New-Modified-Cancelled report and Cancellation/No Show report
- Ensure that modified and cancelled reservations match in PMS
- Merge duplicates in ORS
- Clean up reservations in PMS after the merge has integrated – ensure that profile and comments notes are detailed and accurate
- Ensure billing and routing is accurate and noted
- Double check/change Rates, Daily Details and Deposits 2 days out and check 4 days out starting on Thursday to cover the weekend
- Adjust MORE3 reservations to reflect zero rate on third night (if an IATA number is attached to a reservation, check to see if the rate should be updated to MORE3FHR, MORE3SIG, MORE3CENT, etc.)
- Review SUITE Promotion bookings (if IATA number is attached, check to see if the guest receives FHR, VIRTUOSO, SIG, etc. benefits and adjust the rate code)
- Review all OTA and Consortia bookings ensuring deposits and routing instructions are noted. (EXPED, EXPEDADV, BONOTEL, HOTELTONIGHT, ADVP, BOOKADV, FHR -> CENT, BAR -> BCD, AMEX, CWT, etc)
- Maintain a working knowledge of Synxis Reservations system, Cendyn, Opera PMS, and Opera ORS to ensure reservations accuracy.
- Maintain knowledge of available room inventory and general revenue management principles.
- Review all HUSE/COMP reservations (make sure the correct code is being used for the reservation and that a completed form is on file)
- Coordinate with FOM/DORM, to secure all Friends and Family reservations
- Coordinate with HR team to secure special reservations for complimentary and house use nights
- Review daily cancellations/no-shows charges - (Compare no-shows with overnight MOD Pass-On. Make sure they match. Usually if a reservation is reinstated, it will not be on the MOD Pass-On as a no-show. Update the cancellation/no-show Excel Spreadsheet.)
- Post no-show room revenue
- Handle credit card authorization form process (once received, ensure that reservation is in system, add notes, set up routing, verify card is valid, submit authorization to accounting once processed)

Experience –
- Minimum two year’s hotel reservation and/or front office experience
General Skills –
- Excellent organizational skills, flexibility.
- Excellent interpersonal skills. Superior oral/written communication skills; ability to interact successfully with all levels.
- Excellent telephone etiquette.
- Tact and good judgment and proven experience interacting with customers and hotel management.
Technical Skills –
- Strong technical skills in Word, Excel, Outlook along with good internet navigation skills
- Experience with hotel PMS systems and operational proficiency.
- Knowledge of general office equipment (e.g., fax machine, copy machine, printers).
Education or Certification -
- College Degree preferred
Language -
- Required to speak, read and write English, with fluency in other languages preferred
Physical Requirements -
- Must be able to endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, lift up to 20 pounds, and satisfactorily communicate with guests and co-workers to their understanding.
